EDM Technician, Information Resources Directorate

Our client, a company whose mission is to manage, operate and maintain various transport infrastructures, whose activities are divided into engineering, construction and maintenance operations is currently seeking, to continue improving the quality and efficiency of its services, for an Electronic Document Management Technician.

Nature of position

Under the supervision of the Manager, IT Operations and Integrated Information Management, you will play an important role in the support and maintenance of collaboration tools and electronic document management (EDM). You will mainly provide first level support for EDM tools (Office 365 and SharePoint) and user training, in addition to performing all tasks of the Integrated Information Management department while ensuring a high level of professionalism and thoroughness. As such, you will :

  • Act as the primary resource for first-level support of Microsoft 365 tools to employees.
  • Train employees on the use of EDM tools (SharePoint, OneDrive, Teams, electronic signature, etc.).
  • Train, advise and support employees on how to apply good documentation practices according to the procedures in force.
  • Actively participate in the development of standardized working methods and tools.
  • Respond to user requests via the Octopus ticketing system (information searches, publication of official versions on the Intranet, opening of SharePoint sites, etc.).
  • Update the procedures of the Information Management Department.
  • Prepare performance reports on the activities of the Information Management Department (e.g. dashboard).
  • Carry out digitization work on paper documents, while ensuring the quality and integrity of the digitized version of the document.
  • Update the filing plan and archiving schedule for the Corporation's documents as well as for management tool maintenance (e.g. SharePoint lists, term store).
  • Carry out document management tasks (filing, coding, indexing, archiving, digitization, etc.) according to the Corporation’s information categorization method.
  • Support the Manager and the integrated information management expert with access to information requests.
  • Perform any other related tasks as required.

Required qualification

  • Have a college diploma (DCS) in documentation techniques or 1st cycle university diploma in information sciences, administrative document or archive management or any other relevant field.
  • At least four years of experience in document and archive management.
  • Good knowledge of Microsoft 365, SharePoint, OneDrive, Adobe Professional.
  • Master the basics of document management.
  • Practical knowledge of document management software.
  • Ability to communicate verbally and in writing in both official languages.
  • Experience implementing electronic document management (EDM) systems (GED).
  • Leadership, good team spirit, results-oriented.
  • Show discipline, good organizational and prioritization skills, and an ability to multitask.
  • Excellent communication skills.
  • Excellent customer service, interpersonal skills, good attitude.
  • Ability to work in a changing and growing environment.
