Senior Project Coordinator
Our client, a corporation whose mission is to manage, operate, and maintain various transportation infrastructures, with activities spanning engineering, construction, and maintenance operations, is currently seeking a Senior Project Coordinator to support the continued improvement of the quality and efficiency of its services.
Nature of position
Reporting to the Project Director, you will ensure the successful execution of the projects under your responsibility. You will actively participate in the development and implementation of project management practices in accordance with the philosophy of the Project Management Institute (PMI). You will prepare, receive, and analyze reports and recommend appropriate measures to the Project Director and/or the project team. Working closely with the team, including Project Control Officers (PCOs), you will contribute, among other things, to project planning and to the control of budgets, costs, and schedules. In addition, you will act as a mentor and actively participate in coaching staff members who are part of the project teams. In this role, you will be responsible for:
- Defining, analyzing, and monitoring project requirements to ensure compliance with the project scope (all planned work);
- Preparing project charters and project plans with the Project Director, incorporating the various project management knowledge areas;
- Establishing the list of internal and external stakeholders specific to each project and coordinating activities with them;
- Contributing to project handover meetings from the preliminary project phase to the project phase and ensuring that potential issues are mitigated;
- Working closely with discipline leads and the PCO to plan and lead project integration meetings in SAP ByDesign and monthly report reviews;
- Managing project change requests;
- Being responsible for preparing project schedules in MS Project;
- Participating in variance analysis for accrued costs;
- Analyzing progress reports from discipline leads, following up with the PCO, and subsequently communicating the information to the Project Director;
- Taking responsibility for assessing and quantifying project risks and presenting the analysis to the Project Director;
- When required, escalating information to the Project Director and ensuring that the contingency plan is implemented and properly reflected in the budget;
- Participating in project close-out meetings to ensure continuity with assigned projects, including project closure, lessons learned, etc.;
- Recommending solutions to the Project Director when problematic situations arise in connection with the project;
- Acting as the primary liaison between the Project Director, discipline leads, and PCOs;
- Acting as a mentor to project team members by sharing project management knowledge and expertise;
- Providing professional leadership on complex projects with significant impacts on the organization;
- Recommending priority action plans for current and upcoming projects;
- Playing a key advisory role with colleagues from various departments regarding activities that support the continuous improvement of the project management process;
- Recommending improvements to project management tools and, when required, initiating, supporting, and communicating new approaches aimed at increasing organizational efficiency, resolving critical issues, or generating opportunities;
- Participating in various working committees;
- Performing any other duties or responsibilities related to the position.
Required qualification
- Bachelor's degree in engineering (civil engineering considered an asset);
- A minimum of twelve years of relevant experience, including at least two years of experience managing major projects;
- Membership in the Ordre des ingénieurs du Québec (OIQ);
- Relevant experience managing multidisciplinary teams or providing team leadership;
- Proficiency in cost management and planning;
- Strong writing skills and the ability to understand and interpret plans, specifications, and technical drawings;
- Valid ASP Construction health and safety card and a valid Class 5 driver's licence;
- Working knowledge of the Microsoft 365 environment, including Excel, Word, Outlook, Access, and MS Project, as well as proficiency with SAP ByDesign;
- Excellent verbal and written communication skills in both official languages (French and English);
- Knowledge of generative AI tools such as Copilot and prompt engineering considered an asset;
- A master's degree in project management, PMP certification, or experience within a government, as well as experience with consulting engineering firms or contractors operating in the road infrastructure sector (an asset).
